The Behavioral Health Services Department Clerk shall be appointed by and accountable to the Director of the Behavioral Health Services Department under the direct supervision of the Department Director. The Department Clerk performs complex (journey-level) clerical work, including computer operations, completing inventory, completing work orders and travel requests, developing and maintaining data systems, taking and keeping minutes of the Behavior Therapy Committee (BTC), Skills Acquisition Plan (SAP) Committee, and other office duties. The
Department Clerk works under general supervision, with moderate latitude for the use of initiative and independent judgment.
Essential Job Functions:
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift, and/or overtime in accordance with agency leave policy and performs other duties as assigned.

Completes and distributes documents for BTC and SAP Committees and monthly Behavioral Department Meetings, including agendas and minutes for its meetings.

Types all required documents for the Department Director and other department professional personnel, as assigned, within designated time lines..

Completes assignments given by supervisor. Accurately reports outcomes of assigned duties in a timely manner. Serves as departmental consultant for computer operations.

Tracks all training rosters for behaviors plans and SAPs and enters the info into a database.

Photocopies, sorts and distributes department documents as required.

Compiles informational and statistical data and prepares necessary departmental reports, forms, and documentation as assigned.

Conducts self at all times in a manner consistent with standards expected of HHS employees as outlined by HHS rules and MSS Policies and Procedures. Maintaining confidentiality within the department and facility.

Orders all department supplies (i.e., token economy materials) and maintains an adequate supply of items needed for operation of the department.

Uses MIMS and Procurement card for purchases necessary for department need in a manner consistent with the HHS policies and procedures.

Works harmoniously with staff and the general public to generate productive, cohesive work settings and positive public and interpersonal relationships.

Receives visitors and answers telephone in a courteous manner.

Serves as department paymaster, mail delivery person, and distributes department time sheets.

Maintains department filing system and behavioral health on call calendars.

Completes departmental work orders and travel requests.
Sets up schedules for training of the Behavioral Health Services Department Staff.
Knowledge Skills Abilities:
1. Working knowledge of Business English, spelling, punctuation, arithmetic, and office practices and procedures.
2. Proven ability to communicate verbally and writing in a clear and concise manner.
3. Knowledge of computer software and ability to enter data into those systems.
4. Ability to compose letters and memorandums.
5. Proven ability to deal with the public in a pleasant and effective manner, and work harmoniously with coworkers.
6. Proven ability to demonstrate flexibility and willingness to accept additional responsibility as the need arises.
7. Physical ability to be mobile and travel to assigned locations.
8. Ability to read a large amount of information in a timely manner
Initial Selection Criteria:
Experience in clerical work. Graduation from a standard senior high school or equivalent is preferred with training and experience in computer skills. Experience and education may be substituted for one another.
